Privacy Policy

This policy explains what information Back to School Forms collects, how we use it, and the rules that govern student data we process on behalf of school districts.

1. Who we are and what this covers

Back to School Forms provides online forms and enrollment software to K-12 school districts. This policy covers our marketing website and our platform.

Two very different kinds of information are described here. Information about visitors to our website and about district staff who administer our platform, which we control. And student and family information submitted through district forms, which we process on the district’s behalf and under the district’s direction.

2. Student and family data (district-controlled)

When a district uses Back to School Forms, the district is the owner and controller of the student and family information collected through its forms. We act as a service provider, processing that information only to deliver the service and only as instructed by the district.

We handle student personally identifiable information consistent with the Family Educational Rights and Privacy Act (FERPA). Free and reduced price meal eligibility information is subject to the stricter confidentiality requirements of the National School Lunch Act, and we restrict access to staff directly connected to program administration.

We do not sell student data.
We do not use student data for advertising or to build advertising profiles.
We do not use student data to train third-party models.
Districts may export their data at any time, and we return or delete it on request when an agreement ends.

3. Information we collect about website visitors

When you visit our website or request a demo, we collect the information you give us — name, role, district, email, phone number, and anything you write in a message — along with basic technical data such as IP address, browser type, pages viewed, and referring site.

We use this to respond to your request, to understand which content is useful, and to improve the site. We do not sell it.

4. Cookies and analytics

We use a small number of cookies and privacy-respecting analytics to measure site traffic and performance. These do not identify you personally, and we do not run advertising trackers on our site.

You can block or delete cookies in your browser. The site will continue to work.

5. How we share information

We share information only with service providers who help us operate the platform — hosting, email delivery, and support tooling — under contracts that require them to protect it and use it only for the service they provide to us.

We may disclose information if required by law, or in connection with a merger or acquisition, in which case any district data continues to be governed by the district’s existing agreement.

6. Security

Data is encrypted in transit and at rest and runs in a secure, monitored, managed cloud environment with regular backups. Access within our team is role-based and limited to what a person needs to do their job.

No system is perfectly secure, but if a breach affects district data we notify the district promptly and in line with our agreement and applicable law.

7. Retention

We retain district data for as long as the district’s agreement is in effect, and then return or delete it on the district’s instruction. Website inquiry information is kept only as long as needed for our business relationship.

8. Your choices and rights

Parents and students seeking access to, correction of, or deletion of records submitted through a district’s forms should contact their district, which controls that data. We support districts in fulfilling those requests.

Website visitors can ask us to delete the contact information they submitted by emailing us.

9. Children

Our platform is used by school districts to collect information about students, including children under 13, at the direction of and with the authority of the district. We do not knowingly collect information directly from children outside that district relationship.

10. Changes to this policy

If we make material changes we will update the date at the top of this page and, where a change affects district data, notify districts directly.
